This is a contract position, located in Charleston, WV.
The Document Control Analyst is responsible for all records and document management and its overall performance.
Advises on all processes, issues, urgent matters and directs how the work is done.
Establishes all protocols for both internally and with external stakeholders; oversees the day-to-day activities of the Document Control team.
Provide direction, guidance and training to Document Control team and project team to ensure a consistent and effective approach is applied across the project with respect to managing information.
Develop, maintain, and support the project/projects overall Information Management Plan, processes, and procedures as they align to the Capital Project Management System.
Plan includes a document strategy for our Internal, External and Vault SharePoint sites, EDMS, and paper copy documents; assess, understand, consult, and make decisions with respect to the project/project's requirements for information management.
Develop Document Control practices and procedures for the field office in work with field staff to implement; conduct business analysis of information flows and determine the appropriate document control processes to support the business process.
Assist team members to meet project/initiative, schedule and quality on all requirements pertaining to information management best practices.
Collaborate with team members and other stakeholders to manage and protect their information.
Utilize project management skills to manage multiple initiatives and provide progress reporting and status updates; conduct self-audits to assess gaps and determine and implement corrective action.
Lead and practice an environment of continuous improvement to ensure optimization of the SharePoint system.
Collaborate and coordinate the publication of training materials, FAQ's cheat sheets etc.
Plan and coordinate training sessions as required (in person, via conference calls or WebEx sessions).
The Document Control Records Analyst (DCRA) is responsible for general project administration, document preparation and control, project specific application administration, status reporting and other pertinent responsibilities as directed by the Project Manager.
The DCRA will partner with the project team and functional groups to ensure the flow of documents and records are managed and controlled in accordance with Company and regulatory requirements.
Core Functions:
Provide project level administrative support (i.
e.
meeting organization, distribution of information, meeting minutes, etc.
) Act as point of contact for field staff as directed by Management.
Are-bid activities; work with supply chain to secure meeting space, print bid documents, arrange for A/V equipment, and coordinate meals/snacks.
Assemble project kickoff packets i.
e.
- Inspector Information Packets, Tree Clearing, Safety, etc.
Work with construction managers to track and forecast project inspectors.
Provide anticipated receipts and spending to the project controller for entry into SAP.
Participate in document control activities to ensure construction submittals and transmittals are managed and controlled.
Collect third party inspection documents, timesheets, training, and certifications.
Train field clerks on organization of jobsite materials, naming conventions, and document exchange cadence.
Enter new/retired assets into Power plan.
Partner with Field Material Coordinator to ensure materials tracking is performed and MRFs/material PRs are completed.
Request and maintain Project SharePoint sites to upload and distribute documents.
Ensure documents are uploaded to SharePoint and/or additional repositories as required.
Collect and upload project gate deliverables; assist in on-going preparedness for gate and/or assurance reviews and stage-gate checklist.
Partner with Records Retention Support Team to coordinate off-site storage of project records.
Maintain record retention methodology throughout project life cycle including retention repositories Create project required deliverables list, set up project Pulse sites, and upload regulatory required deliverables to Pulse.
Ownership Project Turnover Memorandum process when applicable.
Maintain a project closeout tracker that provides status on project closeout activities such as PTM, PSSR, PRDs, Pulse.
Identify opportunities for improvements and document as lessons learnedQualifications and Education:
High school diploma or equivalent required.
Secondary education in administration from a recognized institution Experience preferred Natural gas industry/construction experience preferred; understands construction project life cycle; assists others in their understanding of these concerns.
